What is the Disbursement object?

The Disbursement object is used to record outgoing payments to suppliers as “paid” transactions. It helps you centralize payment date, amount, line items, and attachments to prevent missed or duplicated payments.In short: a Bill is the “request to pay”, while a Disbursement is the “payment that actually happened”.

Key fields (examples)

  • Supplier (Company / Contact)
  • Payment date
  • Status (e.g., Draft / Received / Approved / Paid; may vary by workspace)
  • Line items (select items or enter manually)
  • Total / Total without tax, Currency, and optional Fee
  • Attachments / Notes for payment proof and internal context

Basic workflow

  1. Open the Disbursement object and click New.
  2. Set the supplier, payment date, and currency.
  3. Fill in line items and confirm totals.
  4. Link the related payable record(s) (for example, Bills) if needed.
  5. Attach payment proof and update the status as you progress.

Operational tips

  • Make supplier, payment date, and line items mandatory in your process to keep records searchable.
  • Define a consistent status flow (e.g., Approved → Paid) to avoid missed payments.
  • Always attach bank transfer slips/receipts to simplify audits and internal reviews.
