What is a message?
Messages are a standard feature of Sanka that centralizes interactions associated with objects and records in one place. Even if emails and chats are dispersed, the context of each record can be preserved, which is useful for “visualization” during handovers and audits.Main uses
- Store communication history for each business partner and project by linking it to records
- Centrally manage mentions, handovers, and tasks between people in charge
- Connect with notifications and automation (workflow) to instantly share progress and abnormalities
- Standardize responses with templated messages
Mechanism and features
- Record linking: Messages are linked to each record under the object, keeping a history of who said what and when.
- Mention and assignment of person in charge: Mention the user to request follow or confirmation, and change the person in charge on the record.
- Attachments/Links: Keep supporting documents in the same place with file attachments and links to related records.
- Notifications: Send notifications when mentions or status updates are made to prevent omissions.
- Workflow integration: Task creation, status changes, external notifications, etc. can be automated using specific messages or tags as triggers.
Basic usage
- Open a record from the target object and enter a comment in the message field.
- Mention people and attach files and related records as needed.
- Update labels and status to automatically trigger notifications and next actions via workflow.
Operational Best Practices
- Avoid channel dispersion by keeping communications on a record-by-record basis
- Thoroughly set mentions and persons in charge, and clarify where the responsibility lies
- Create templates for canned responses to ensure uniform response quality and speed.
- Set important events (approvals, abnormalities, approaching deadlines) with workflow notifications
- Leave a trail with attachments and links to improve searchability during audits and handovers
